Description

Document internal and external investigations of alleged improper activities, retaliation, and misconduct involving alleged violations of university policies prohibiting discrimination or harassment or associated misconduct by the Institution, university employee, university unit, or unspecified/unaffiliated respondent. These records do not include the records held by campus police departments although law enforcement activities may occur due to the nature of an investigation and the records may be used during any criminal adjudication processes.

These records found in all media (paper, digital, or other) may include but are not limited to:

  • notifications when appropriate;
  • documentation of corrective and remedial actions;
  • final reports;
  • related documentation (examples: evidence, document analytics, aggregate data reports, training materials and guidance documents) and correspondence, including e-mail.

 

Retention and Disposal Instructions

7 years from calendar year case closed, if no subsequent, substantively similar behavior and no litigation or agency complaint, purge. 

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
