(a) Retain for at least 1 term after completion, and retain until contested grade results are resolved.
(b) After one term, purge, or retain for educational reasons for up to 5 years after completion, then purge. Common educational reasons to retain graded work include: using graded work to assist revisions of future assessments; using graded work to assist in providing recommendation letters; the expectation that graded work might be used for the above purposes.
Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
Note: Graded work should be retained by the instructor. In the event that an instructor permanently leaves the university (e.g. a GE who graduates, a faculty member who retires), graded work should be retained by the department instead.
To help protect student privacy, document retainers are encouraged to store retained material securely, either physically in secured locations on campus, or digitally using services managed by the UO (rather than on personal devices or on cloud storage run by private companies).
