Description

Document all reports of prohibited discrimination, harassment and retaliation, including any resulting investigations, dismissal notices, and findings. These records do not include the records held by campus police departments although law enforcement activities may occur due to the nature of an investigation and the records may be used during any criminal adjudication processes.

These records found in all media (paper, digital, or other) may include but are not limited to:

  • reported allegations
  • notifications when appropriate;
  • documentation of corrective and remedial actions;
  • final reports;
  • related documentation (examples: evidence, document analytics, aggregate data reports, training materials and guidance documents) and correspondence, including e-mail.
Retention and Disposal Instructions

(a) Reported allegations that do not result in an investigation, 10 years, purge;

(b) Investigations, 10 years from calendar year case closed, if no subsequent, substantively similar behavior and no litigation or agency complaint, purge.

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
