Description

Document central case files of complaints or other actions or incidents investigated by the department. Usually filed by case number.

These records found in all media (paper, digital, or other) may include but are not limited to:

  • investigative reports;
  • fingerprint cards;
  • original arrest reports;
  • supplemental reports;
  • photographs;
  • teletypes;
  • court orders;
  • court dispositions;
  • officer notes;
  • laboratory reports;
  • DUII test records including chemical analyses (intoxilyzer or breathalyzer test results);
  • citizen arrest certificates;
  • copies of warrants;
  • search warrants, and booking sheets, property/evidence reports, custody reports, and
  • related documentation and correspondence, including e-mail.

Information usually includes suspect identification, alleged activity, location, date, validity of source information and other data. Sources include law enforcement and regulatory agencies and private citizens. 

Retention and Disposal Instructions

(a) 75 years after case closed for cases involving crimes with no statutes of limitations, purge;

(b) until cleared for missing persons reports, purge;

(c) until statute of limitations expires for all other cases, purge.

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
