Description

Document each Stafford, SLS, or PLUS loan received by or on behalf of its students, activities as specificed here and in 34 CFR 682.210.

These records found in all media (paper, digital, or other) must document:

  • a copy of the loan certification or data electronically submitted to the lender, that includes the amount of the loan and the period of enrollment for which the loan was intended;
  • the cost of attendance, estimated financial assistance, and estimated family contribution used to calculate the loan amount;
  • for loans delivered to the school by check, the date the school endorsed each loan check, if required;
  • the date or dates of delivery of the loan proceeds by the school to the student or to the parent borrower;
  • for loans delivered by electronic funds transfer or master check, a copy of the borrower's required written authorization, if it was not provided in the loan application or MPN, to deliver the initial and subsequent disbursements of each FFEL Program loan;
  • documentation of any MPN confirmation process or processes the school may have used;
  • documentation of required enrollment reporting in part (c) of 34 CFR 682.610.

May also include:

  • related documentation and correspondence, including e-mail.
Retention and Disposal Instructions

(a) 3 years after the end of the award year in which the student last attended for records relating to a student or parent borrower's eligibility and participation in the FFEL or Direct Loan Program, purge;

(b) 3 years after the end of the award year in which the records are submitted for all other records relating to its participation in the FFEL or Direct Loan Program, including records of any other reports or forms, purge

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
