Description

Document the response to crises or disasters that significantly impact the campus communities and/or facilities. Does not include health related information about individuals. 

This series may include but is not limited to  

  • logs; 
  • reports; 
  • images; and 
  • related documentation. 

This series includes permanent records that should be transferred to University Archives.

Retention and Disposal Instructions

(a) 7 years after closing out of FEMA grants for incidents that receive FEMA funding, transfer images, damage assessment reports, financial records to University Archives by visiting https://library.uoregon.edu/instructions-transferring-permanent-records…;

(b) 7 years after resolution for all other incidents, transfer images, damage assessment reports, and financial records to University Archives by visiting https://library.uoregon.edu/instructions-transferring-permanent-records…; 

(c) For Incident action plans and after-action reports 25 years, purge; 

(d) All other records, purge as soon as no longer required for operations. 

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
