Description

Document pay determinations, including but not limited to analyses and decisions related to setting pay at the time of hire, reviews related to equity, merit increases, stipends, overloads, retention offers, expansion of duties, supplemental pay and/or other changes to employee pay. This series applies only to determinations regarding salary and compensation amounts, including base pay and other monetary compensation like stipends, and does not apply to payroll records or other benefits such as the accrual or use of sick leave, vacation leave, or other protected leave. 

These records found in all media (paper, digital, or other) may include but are not limited to: 

  • any agreements related to pay; 
  • pay action analyses, justification forms, or salary reviews for any employee, including expansion of duties, stipends, and overloads; 
  • merit and retention increases; 
  • Faculty Pay Form, form data and supporting documents; 
  • Delegated Stipend Form and form data; 
  • related documentation and correspondence, including e-mail. 

The analysis and supporting documentation should be kept separate from the employee file. A copy of the letter of determination should be added to the employee file.  

Retention and Disposal Instructions

10 years after separation, purge; 

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
