Description

Document services and other related support, in compliance with Americans with Disabilities Act (ADA) for employees. For services to students with disabilities, see Student Records.

These records found in all media (paper, digital, or other) may include but are not limited to:

  • requests by employees for disability-related accommodations (including travel accommodations) and related responses;
  • requests by employees for workplace accommodations for sincerely held religious, moral or ethical beliefs and related responses;
  • requests for accommodation (disability and religious/moral) in the application/hiring process and related responses;
  • requests by university employees for accessible/handicap parking and related responses;
  • requests by faculty/staff or the family members of a student living in University Housing to have a companion animal in University Housing or the workplace and related responses;
  • requests by members of the public regarding access to programs and services offered by the University and complaints regarding lack of access due to disability and related responses;
  • related documentation and correspondence, including e-mail.
Retention and Disposal Instructions

(a) 3 years after employee separation, verify no ADA-related formal discrimination complaints prior to disposal, purge;

(b) 3 years after resolution for records in cases involving only the general public, purge.

Exception: In the event of a subpoena, audit, legal hold, public records or similar state or federal information request, halt until further instructed any scheduled disposal activities, including purging or transferring material to University Archives.
